Overview:

Job Title

Administrator and office manager (part time).

Job Summary

To provide administrative and secretarial support to one full time, one part time and two consultant members of staff. To provide office management for a small office as well as assist with marketing and website maintenance.

Hours

Approximately 15 hours per week but it would be useful if you are able to offer semi flexible hours.

Location

This position is office based at Millridge Farm, Hartlebury so your own transport is advisable.

Job Role

To provide secretarial and administrative support to members of staff at their direction and under your own initiative.

To manage a small office in terms of IT equipment, stationary, work flow, communications and client and professional contacts.

To assist in the production of marketing and promotional material, improvement and maintenance of the company website as well as helping prepare for attendance at three planned agricultural shows in 2012.

Secretarial and administrative support

  • Typing reports and letters from audio dictations
  • Assist with our Farm Business Management Service in general administration, data entry, record keeping, liaising with farmers etc
  • Invoice management
  • Diary management and organising meetings

Office Management

  • Answering telephones and managing messages between staff
  • Manage purchasing e.g. stationary, IT equipment, office equipment
  • Manage filing systems and other administrative systems
  • Keep accurate records and data
  • Maintain client contact

Marketing, promotion, website and shows

  • Organise the drafting and printing of promotional literature
  • Manage client and prospective client database
  • Organise the designing and printing of promotional displays and banners for shows
  • Undertake email marketing and other online promotion
  • Bring up to date and manage the company website

Personal Specification

We are looking for an enthusiastic person interested in farming and agriculture who would like to be involved in the growth of a young company. We are very much looking for the right person so even if you do not have formal training but feel you can fulfil the job role please do contact us. Most importantly we hope to find someone who is comfortable and confident talking to farming and rural clients, and who is prepared to use their own initiative to handle a variety of tasks and deal with issues.

  • Organised and with excellent record keeping and ability to handle detail
  • Computer proficient including use of Word, Excel, Outlook and preferably Access
  • Able to type well including the ability to type from audio dictations
  • Able to produce work to a high professional level of presentation including the ability to check for spelling, grammar etc
  • Able to proof read reports, letters and other documents
  • Able to use own initiative and ‘think outside the box’
  • Hard working and willing to take on responsibility
  • Confident talking to and communicating with farmers face to face and on the telephone
  • Able to handle confidential information
